KJ Management Inc., operating as K-Line Collective (“we”, “us”, “our”), operates k-linecollective.ca (the “Site”). This policy explains what personal information we collect through the Site, how we use it, who we share it with, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

1. What this policy covers

This policy applies to the Site only. The websites of our affiliated operating companies, and the third-party sites we link to (including social media pages and external job boards), have their own privacy policies.

2. What we collect

(i) Contact form. When you use our contact form we collect your name, company, email address, phone number (optional), subject line and message. Submissions are delivered directly to our staff email inbox and are not stored in the Site’s database.

(ii) Information collected automatically. With your consent (see section 3), we collect technical information about your visit — such as IP address, browser and device type, and pages viewed — through Google Analytics 4.

(iii) Careers. Our careers section links to external job boards (such as Indeed). We do not collect applications or resumes through the Site; anything you submit on a job board is governed by that site’s privacy policy.

We collect only what we need for the purposes described below, and we do not ask for sensitive personal information through the Site. We do not currently offer an email newsletter.

3. Cookies and analytics

When you first visit the Site, a cookie banner asks for your consent. Until you consent, the Site uses only necessary cookies — those required to make the Site work and to remember your cookie choice. If you accept, we also use Google Analytics 4 to understand how visitors use the Site (pages visited, time spent, approximate location derived from IP address); Google processes this information on our behalf. Embedded content on the Site — such as YouTube videos and Google Maps — may set its own cookies when it loads. You can change your mind at any time through your browser settings or by clearing your cookie preferences.

4. How we use your information

We use personal information to: respond to your inquiries; understand how the Site is used and improve it (analytics, with consent); maintain the security of the Site; and meet legal requirements. We do not use your personal information for other purposes without your consent, and we do not sell it. We do not use your information for advertising or remarketing.

5. Who we share it with

We share personal information only with service providers who help us operate the Site and communicate with you: Web Hosting Canada (website hosting), Google (analytics), our email provider (Microsoft 365), and our approved web development partner, whose access is limited to maintaining the Site. These providers may use your information only to provide services to us. We may also disclose personal information where required or permitted by law. We do not sell or rent personal information, and we do not share it with affiliates or business partners for their own marketing.

6. Where your information is stored

The Site is hosted in Canada (primary server in Toronto, with servers in Vancouver and Montreal). Some of our service providers process information outside Canada: Google Analytics data is processed by Google in the United States, and our email may be processed in Canada or US. While your information is outside Canada it is subject to the laws of those jurisdictions, and courts, law enforcement and regulators there may be able to obtain access to it.

7. How long we keep it

We keep contact-form inquiries in accordance with our business record retention practices as amended from time to time, and we securely delete or anonymize information we no longer need.

8. How we protect it

The Site uses HTTPS/TLS encryption. Access to administrative functions and contact-form submissions is restricted to authorized personnel, and our hosting provider follows industry-standard security practices. No method of transmission or storage is completely secure, but we work to protect your information against loss, theft and unauthorized access.

9. Your choices and rights

(i) You can decline or withdraw consent to analytics cookies through the cookie banner or your browser settings.

(ii) You can withdraw consent to our collection, use or disclosure of your information, subject to legal or contractual restrictions and reasonable notice.

(iii) You can request access to, or correction of, the personal information we hold about you by writing to our privacy contact. We respond within 30 days as required by PIPEDA.

If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, where provincial law applies, the privacy commissioner of Alberta or British Columbia.

10. Children

The Site is not directed at minors and we do not knowingly collect personal information from them.

11. Changes to this policy

We may update this policy from time to time. We will post the updated version here with a new effective date, and for material changes we will provide more prominent notice.
